Church Council Minutes
February 22, 2011

 

Members Present:  Linda Haney, Board of Trustees Vice-President;  Ari Schmidt, Social Action; Suzan Miller, Caring Ministry; Sheryl Hemp, Committee on Ministry; Joyce Kurth, Membership; Randy Jefferson, Religious Services; Tim Peterson, Property; Nancy Cedar, Religious Education

Staff Present: Rev. Paul Beckel, Minister; Deborah Hartman, Office Manager; Laelia Tawnamaia, Intern Minister; Samantha Masterton, EMPC;  Marguerite Donnelly, Music and Events Coordinator

The meeting was called to order at 6:30 pm

Approval of the minutes of the January 18, 2011 Meeting 
A. Schmidt moved to approve the minutes; S Miller seconded; motion passed.

Discussion of Council Member Outreach Efforts/ Assignments
Committee Corner assignments for the Circuit Writer are as follows:
April 2011 – Linda Haney for the Church Council
May 2011 - Linda will request to Marsha Fitzgerald that Personnel do Committee Corner for
                   May.

Worship Associate sign-ups:
March 20, 2011 – Religious Education
May 22, 2011  – Council members will hand out Annual Report and do Labors of Love

Governance Task Force Update
Sue Miller reported that the task force has produced a sample format for policies, which it will present to the Board of Trustees in April 2011.

Choir
Marguerite Donnelly said the choir she is leading has sung for the last two months, and will sing for the March 13, 2011 Sunday service.  The Music Committee is being revamped, and they need another member.

Review of Annual Report Form
The group reviewed the draft form to be used by all church committees and groups for the Annual Report.   After discussion of the definition of "goals" and additional suggestions, Linda H said she would revise the form and send it out for review of the Council.  It was decided to keep the reports concise, but each group can include whatever they want to report, including statistics.  Paul said Staff would also be filling out individual reports.  Reports are due to Deb on Hartman May 5 and will be distributed to the congregation May 22.

Discussion of "Raising the Roof"
Randy Jefferson led the discussion of "Infrastructure and Overload", involving how things get done in a church setting.  People do not gravitate to committees so much as to small interest groups.  Laelia drew a distinction between "Small Group" ministries and small groups that are task-driven teams formed to address chores or projects.  Next meeting , the group will discuss the topic of releasing member gifts, with Randy again leading the discussion.

Action Steps
1.  Linda will revise the Annual Report Form and send it to Council members for review.
2.  Council members should review "Raising the Roof," pages 30-31.
3.  Reminder that May 5, 2011 is the deadline for submitting Annual Report Forms to Deb  
     Hartman.

Next Meeting   
The next meeting of the Church Council will be Wednesday, April 6, 2011 at 6:30 pm. in Yawkey Hall.

The meeting adjourned at 8:05 pm
